360 Degree Feedback - Process |

Profiling Kit.
This kit consists of:
 |
360 degree feedback questionnaire for Self assessment (one number). |
 |
360 degree feedback questionnaires for Others’ assessment (15 numbers) |
 |
Sample of the letter to be sent by you to all your assessors |
 |
Self addressed envelopes from TVRLS to be sent to your assessors with the instrument /questionnaire |

Personal letter to the individual from TVRLS (incorporated into the questionnaire) |
On receiving the kit, you are required to do the following:
 |
Finalize the list of assessors (from whom you would like to receive the feedback). |
 |
Finalize the covering letter you need to send to your assessors (prepared on the lines of a sample that is given in the kit) on your letterhead. |
 |
Mail or hand over to your assessors, one questionnaire along with a letter from your end and one Self addressed envelope from TVRLS. (Ensure that your name has been written on each of the questionnaire before mailing). |
 |
Complete your Self Assessment form, take a photocopy of the same for your record and, mail the original to TVRLS. |
Please note that the feedback sought is anonymous and kept confidential. The assessor only needs to indicate her/his relation with you in terms of boss, subordinate, peer, etc.

Selecting your assessors: |

Your assessors for giving 360 degree feedback should include: |
 |
A minimum of two respondents in each of the categories will help in giving you a category-wise feedback. |
 |
You should have had an interaction with each of the respondents for a minimum of three months to ensure that they are able to give correct feedback about your roles and styles.

Processing feedback received from various assessors: |

Once the assessors fill the form, they mail it directly to TVRLS in the envelope supplied to them. |

A minimum of 6 assessors should have responded in order to generate a valid profile. If inadequate, you will have to follow-up with your assessors to ensure that they send the filled form to us. |

Once we receive an adequate number of forms, we prepare your profile by compiling all the responses. |

Getting The Best Out Of Individual Counselling On The Feedback Workshop: |
|
Individual counselling is a one-to-one interaction module. In the counselling session, the facilitator looks at the feedback you have received on all the instruments and tries to point out the most significant parts of it for your role. The facilitator also comments on your action plans and may suggest new action plans.
In order to benefit from the individual counselling sessions with the facilitator:

Study your feedback in-depth. |
 |
Prepare action plans in the context of your individual needs, role related and organizational needs. |
 |
List questions and issues on which you like to seek clarifications and suggestions. |
During the Counselling Session:
If you are going through a workshop and if you do not have any doubts or need clarifications, either about your data or about any other process, you may choose not to go through the individual counselling. However, TVRLS strongly recommends an interaction with the facilator on an individual basis.

On-line Individual Feedback: |

TVRLS has made its 360 Degree Tool available on the web. It is easy to administer in case your assessors are spread out in different locations. At present our 360 Degree tool is meant for all middle level or senior and top level managers of any organization. This tool follows the RSDQ ™ of TVRLS and assesses effectiveness on various Managerial and Leadership Roles, Style of Leadership and Management, Delegation and Leadership qualities. However the tool can be tailor made according to your requirements and can be made available on the web. The following steps are involved in the web based 360 Degree Feedback.

Step 1:
Each participant should give to TVRLS his/her email address as well as the email addresses of his assessors, which are entered into the system by our administrator. The program generates random passwords and sends it via email, to each of the assessors and the participant with directions and links. |

Step 2 :
Once they receive the password, they need to log in to the Internet, access the site, enter the password given, fill in the questionnaire and then submit. Once submitted, the password becomes invalid. The participant does the same to fill in his Self ratings.
There is an option for save and return later; meaning if the respondent fills in half the ratings and leaves or logs out in order to continue at a later date, he/she may do so. The partially filled in form is saved and opened again when the respondent comes back to complete the feedback. Data entered is saved until “Final Submit” has been done. Similar, for the self assessment also. |

Step 3:
The report is generated by the program; however, nobody has access to this, except the administrator (us), so the participant cannot view the report in any stage of the process. |

Step 4:
The final submission of the report could be made available either online or in hard copy. The feedback will include detailed analysis on all the dimensions and expert comments. |
 |
Step 5:
On receiving the feedback report we recommend coaching and counseling which will be done telephonically with prior appointment. |
 |
